Topic 4: Enterprise Systems and Integration Issues

POS Cloud System Integration

Integrating a cloud system automates many daily retail operations. A modern POS terminal connected directly to the cloud eliminates the need for manual data entry, and operations like keeping track of storage or accounting for books.

The Integrated Process

When a transaction takes place and an item is scanned and paid for, the POS system will automatically subtract that item from the total stock available.

This keeps track of available stock.

The POS system also keeps track of all the daily sales and needed calculations like card or cash payments; there is no need to manually punch in numbers before closing the store.

Physical Servers (On premises) vs. Cloud Software (SaaS)

OptionPhysical (On premises)Cloud (SaaS)
Upfront CostVery High: Need to buy all physical hardware needed like server and cables.Low: No physical server needed, runs on most devices.
Monthly CostHigh/medium: Expensive electricity bills, but low monthly subscription fees.Predictable: Pay a fixed monthly fee per device.
MaintenanceHard: Need an IT expert to handle server crashes, and to update software.Easy: The hosting company handles everything for you like updates and security.
ScalabilitySlow and costly: Opening another network means going through the whole process all over again like buying and setting the hardware up again.Fast and Easy: Opening the software to a new store will only take a few online clicks.
ReliabilityRisky: If the server breaks or gets stolen the whole system stops working until the problem is fixed.High: Everything is stored online, so data is safe and secure even if hardware fails.

SaaS (Cloud based) tends to be less of a financial burden to the user because the need for expensive hardware is not needed, only a pay as you go software licence. SaaS is also a better option for scalability, since no high-level IT experience is required to be able to add devices to the network, or even add other branches. It is clear for a small business that is trying to grow that SaaS is a better option than a physical on site server, since there is less capital involved and is much easier to scale with minimal effort.

Design and Pedagogy of Reasoning

Numerous small businesses have difficulty with "isolated” systems, where POS cash registers, accounting systems, and inventory databases are separate systems that run independently of each other, causing double entries and discrepancies in inventory.

This topic was designed in such a way as to facilitate SME owners in putting together the necessary enterprise functions.

We assist decision-makers in comparing the deployment models of Cloud (SaaS) and On-Premises by weighing initial investment versus ongoing maintenance.
